This privacy notice explains what personal data BIUCAC Ltd holds about you, how it is used, stored, kept safe and your rights in relation to this personal data. Personal data is any information relating to an identified or identifiable natural person. An identified or identifiable natural person is one who can be identified, directly or indirectly, by reference to an identifier such as a name, an identification number, location data, an online identifier or to one or more factors specific to the physical, physiological, genetic, mental, economic, cultural or social identity of that natural person.
BIUCAC Ltd will collect your personal data when you register to enter the British Inter University Commercial Awareness Competition (BIUCAC 2020) both via BIUCAC’s website and Eventbrite.
In this notice “we” and “us” means BIUCAC Ltd and “you” means the person that registers to enter the BIUCAC 2020.
What type of personal data we collect from you
BIUCAC Ltd will collect personal data from you when you register to enter BIUCAC 2020 by using Eventbrite. This personal data includes:
contact details: university email address and phone number;
your confirmation that you have not secured a training contract; and
information we collect automatically from you: the university you attend, based upon which application form you use when submitting your application.
You are under no obligation to provide us with any such personal data. However, if you choose to withhold the information we request, you will not be able to register for BIUCAC 2020.
Why we use your personal data
The personal data we collect from you will only be used for the purposes providing you with relevant information about BIUCAC 2020. In compliance with Article 6 of the General Data Protection Regulation (GDPR), there must be a purpose and a valid lawful basis for us to collect and process your personal data. Of the six lawful bases which are set out within Article 6 of the GDPR, we rely upon the following:

BIUCAC Ltd use the personal data about you for the purposes of pursuing our legitimate interests as follows:
to provide you with important information about BIUCAC Ltd, BIUCAC 2020 2020, our sponsors and partners;
to provide you with access to the first three rounds of BIUCAC 2020 which are sent by email and completed online;
to provide you with information regarding the time, date, place, questions and other reasonable information of rounds four and five;
to ensure that all the participants are given the same information in the same manner;
to ensure we can contact you if you are late or are having trouble finding the location where the final will be held;
to publicise the winners;
to use photographs and videos taken at BIUCAC 2020 for publicity and marketing;
to deal with enquiries or complaints; and
for any other purposes that you would reasonably expect.
Communication by Email, Newsletter & Mailings
BIUCAC Ltd asks for your consent to email communication when you register to enter BIUCAC 2020. Communication will be by email, which is why we ask for your university email address, as well as your name. This is so BIUCAC Ltd can contact you with important information relating to BIUCAC 2020 that is specific to you as you progress on to the different rounds. Your email and name is also necessary as the Multiple Choice Quizzes can only be accessed through a link sent by email. Only the members of BIUCAC Ltd have access to your email.
In addition, BIUCAC Ltd operates an email newsletter program, used to inform the participants about information and news relating BIUCAC 2020. Participants will automatically be subscribed to this when they register to enter BIUCAC 2020.If you wish to unsubscribe from email, newsletters and mailings, clear instructions on how to do this are included in the email. PLEASE NOTE that if you unsubscribe, this means that you are no longer able to receive the information that other participants do and so you will also be withdrawn from BIUCAC 2020. This is because BIUCAC Ltd will not be able to inform you about the different rounds and give you access to them.
Who we share your personal data with
Your personal data will be shared internally within BIUCAC Ltd and persons organising or running BIUCAC 2020.
Your personal data will also be shared with your law society in relation to Rounds 1, 2 and 3 and if you are successful in Round 3 and move on to Round 4. This is for the purpose of providing you with the online links for the questions for Rounds 1, 2 and 3 and any other information which may assist you . It is also for the purpose of informing your law society about who will be participating in Round 4 as they are the ones organising this round and will need to contact you for the purpose of providing the time and location.
You may receive information from our sponsors and partners before or throughout BIUCAC 2020 including details of the Final Round or activities connected to the Final Round. Therefore, your data is not shared with anyone outside BIUCAC Ltd ,your law society or the relevant sponsor or partner.
In the event of a potential reorganisation, merger or sale of BIUCAC Ltd or its business, it is possible that your personal data may be transferred to a buyer or merger partner as required by this process. Data protection law will continue to apply to the handling of your personal data. BIUCAC Ltd may also share your personal data with third parties where permitted or required by law, such as due legal process.
Where we keep your personal data
BIUCAC Ltd has implemented technical measures to ensure that the level of security is appropriate to the risk of your personal data that we process and the level of risk presented through processing the personal data. This entails that only limited members of BIUCAC Ltd having access to your personal data, with access being password protected.
How long we will keep your personal data
BIUCAC Ltd will keep your personal data for as long as BIUCAC 2020 is running. This is from the date that you register to enter BIUCAC 2020 until 31 December 2020. After this we will keep your personal data for another 12 months, unless you object, for the purposes of inviting you to BIUCAC 2021.
Your rights to your personal data
You are entitled to request the deletion of your personal data held by BIUCAC Ltd at any given time. Should you wish to withdraw or request the erasure of your personal data before or during BIUCAC 2020, you will no longer be able to participate as we will not have any means of providing you with the relevant information necessary to complete the different rounds, nor shall we have the information necessary to notify you if you are successful and progress on to the next round.
Furthermore, if you wish to access or obtain a copy of your personal data collected by BIUCAC Ltd, for example your results, you have a right to request this. You have the right to obtain the modification of personal data relating to you which is inaccurate. You also have the right to object at any time to the processing of your personal data, in so far as that processing is necessary for the purposes of legitimate interests pursued by BIUCAC Ltd.
You have the right to complain about the handling of your personal data to a Supervisory Authority. In the United Kingdom, the Supervisory Authority is the Information Commissioner’s Office (ICO).
